Letters

The Letters tab is where you write, review, and send the letters that go out to subscribers. It has four sub-tabs: Pending, Sent, Drafts, and Trash.

Where letters come from

There are two ways a letter shows up here:

  1. The missionary emails it to your intake address. It lands in Pending for you to review (unless auto-relay is on, in which case it broadcasts straight away).
  2. You write it yourself in the console with + New Letter.

Compose a letter

  1. Select + New Letter.
  2. Fill in:
    • Subject — the letter's subject line.
    • Letter date — when the missionary wrote it (shown in the archive).
    • Location (optional) — tie the letter to a map pin.
    • Letter content — a rich editor with bold, italic, underline, links, and bullet/numbered lists. Pasted formatting from Word or Google Docs comes along.
    • Attachments — add photos (JPEG, PNG, GIF, WebP, HEIC or AVIF) or PDFs, up to 25 MB each. Large photos are resized for you before they upload.
  3. Choose what to do:
Button What it does
Save Draft Keeps it in the Drafts tab; nothing is sent.
Save to Archive Adds it to the public archive without emailing subscribers.
Send to All Subscribers Broadcasts it now to everyone active.

Preview before you send

Open Email design and select Preview broadcast to see exactly what subscribers will receive, with all your current settings applied.

One click is enough

When you select Send, the button dims and shows Sending… while the broadcast goes out — that can take a little while for a big list. You don't need to click again; a repeat click while it's sending is ignored, so a letter can't accidentally go out twice.

Review a pending letter

  1. Open the Pending sub-tab.
  2. Select a letter to preview it.
  3. Edit anything you like, then Send to All Subscribers — or move it to Trash if it shouldn't go out.

See who received a letter

Open a Sent letter to see the Delivery results panel — overall counts plus an expandable per-recipient breakdown. This is where you'd look if someone says they didn't get a letter.

If a send doesn't go out

The message under the Send button tells you what actually happened:

  • "✓ Sent to 48 subscribers." — everything went out.
  • "✓ Sent to 46 subscribers. 2 failed — open the letter's Delivery results for details." — most went out; a couple of addresses were rejected at submission. The reason for each is in the Delivery results panel.
  • A red message saying nothing went out — our email provider refused the whole send. The letter stays in Pending with a Send failed badge and the reason next to it, so you can send the same letter again once the cause is fixed. Almost always the cause is that the provider hasn't verified your sending domain yet. Open Domain Setup, select Re-check verification, and send again once every record shows verified. If the records are all verified and it still won't send, use Ask for help on the Domain Setup page.

Mission Broadcast also checks with the email provider before a send starts whenever the provider last reported your sending domain as unverified. If it still isn't verified, you see the red message right away instead of a send that reaches nobody.

Delete and restore

Mission Broadcast deletes in two steps so you can't lose a letter by accident:

  • Delete (from the Sent tab) moves the letter to Trash, where it's kept for 30 days before it's removed for good. You type delete to confirm. Subscribers who already received the letter still have it in their inbox — deleting only removes the public archive copy.
  • Delete forever (from the Trash tab) removes the letter and its attachments immediately, skipping the 30-day wait. This can't be undone.

Deleting doesn't unsend

A broadcast that's already in subscribers' inboxes stays there. Deleting a letter only affects the public archive link.

What subscribers see

When you select Send to All Subscribers, each person on your active list gets the letter as a formatted email — photos included — plus footer links to read the full archive, pause emails, or unsubscribe. The look is controlled in Email design; to see it before you send, use Preview broadcast there.

Until you activate your site, broadcasts go only to your test recipients and the letter stays in Pending — real subscribers receive nothing.

It's worth knowing the reader's side so you can answer questions. The For subscribers section is written for them — you can forward it to anyone who asks "how do I read this?" or "how do I stop the emails?"
